Privacy

How this website treats personal information. Privacy inside a WillowCreek deployment is a separate matter, governed by the agreement for that deployment.

Scope

What this policy covers, and what it does not

This policy covers this website, willowcreeksoftware.com, and the enquiries you send us through it. It is published by WillowCreek Holdings Pty Ltd, ABN 38 640 325 186.

It does not cover personal information handled inside a WillowCreek deployment. When the platform runs at a hospital, an aged-care home or a correctional facility, that organisation is the entity responsible for the personal information in it, and we handle that information on their instructions under the agreement governing that deployment. Location records, duress events, incident histories and staff or resident details are dealt with there, including data residency, retention, purpose limitation and audited access. Ask us for the deployment documentation if that is the part you need.

We handle personal information consistently with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

Collection

What this site collects

Less than you are probably used to. This site runs no analytics, no advertising pixels, no session recording, no social widgets and no third-party scripts of any kind. It sets no cookies. Every asset it loads comes from this domain, so browsing it sends nothing to anybody else.

If you send us an enquiry

The contact form asks for what you choose to give us: the nature of your enquiry, your name, your organisation, your work email address, and your message. Optionally, a phone number, your industry, how many sites you run, and what hardware you have today. Those fields are optional because they are useful to us, not because we need them.

The form sends that enquiry to us as an email. It is not stored in a database on this website. If our mail server cannot be reached, the page opens the message in your own mail application instead, so your enquiry is never silently lost, and in that case nothing reaches us until you press send yourself.

Your theme preference

If you switch between the light and dark appearance, the site records that choice in your own browser's local storage under the name wc-theme. It holds nothing except that preference, it is not a cookie, it is never transmitted to us, and clearing your browser data removes it.

Web server records

Like any web server, ours records requests it receives: the IP address, the time, the page requested and the browser's user agent. We use these to keep the site running and secure, not to build a profile of you. To stop the contact form being abused, the address a submission came from is held in memory for up to one hour so we can limit how many enquiries arrive from one place. It is not written to a database.

Use

What we do with it, and what we never do

  • We use your enquiry to answer you, and where you have asked for one, to arrange a conversation, a demonstration or an evaluation.
  • We keep the correspondence while it is commercially relevant, so we can pick up a conversation where it left off, and delete it when it is not.
  • We do not sell, rent or trade personal information. Ever.
  • We do not add you to a mailing list because you asked a question. If we ever run one, you will have to ask to be on it.
  • We do not use your information for automated decision-making or profiling.
  • We do not collect sensitive information through this website, and we ask that you do not send clinical, custodial or personal health information through the contact form. If you need to discuss something of that nature, tell us and we will arrange an appropriate channel.

Who else is involved

Three parties, and no others.

Our hosting provider

This site runs on infrastructure in Sydney, Australia. The provider is a United States company, so although the servers are Australian, that company is capable of accessing what sits on them.

Our mail provider

Enquiries reach us as email, so our mail provider carries and stores them in the ordinary course of delivering our mail.

Anyone the law requires

We will disclose information where we are legally required to, and we will tell you unless we are prohibited from doing so.

We do not disclose your enquiry to distributors or resellers unless you have asked us to put you in touch with one.

Your rights

Access, correction and complaints

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Write to hello@willowcreeksoftware.com and we will respond within a reasonable period, ordinarily within 30 days. We may need to verify who you are before we act, because handing your information to somebody claiming to be you would be the worse outcome.

If you are not satisfied with how we have handled your personal information, tell us first and we will try to put it right. If you are still not satisfied, you can complain to the Office of the Australian Information Commissioner.

If a data breach occurs that is likely to cause serious harm, we will notify affected people and the Commissioner as the Notifiable Data Breaches scheme requires.
